Cloud accounting within a broader suite

Zoho Books implementation

Cloud accounting that sits inside a wider suite of business applications, which makes it attractive where CRM, projects or approvals are also needed.

Our relationship with this platform: Independent implementation and support. We are not an authorised reseller and do not hold a vendor certification unless stated otherwise in writing.

Who this platform suits

Good fit

  • Businesses that want accounting plus CRM, projects or approvals from one vendor family.
  • Service and trading businesses needing approval workflows alongside the ledger.
  • Organisations that value configurable automation rules for routine accounting tasks.
  • Growing businesses that may extend into other suite applications over time.

Poor fit — be honest about this before committing

  • Manufacturers needing bills of materials, work orders and production costing within the accounting platform.
  • Businesses requiring multi-warehouse, batch or serial stock control.
  • Organisations that want a single all-in-one ERP rather than a set of connected applications.

Capabilities

Core accounting

Double-entry ledger, chart of accounts, classes for departmental or project analysis, journals and period closing.

Sales and receivables

Estimates, sales orders, invoices, recurring billing, payment reminders, credit notes and customer statements.

Purchases and payables

Purchase orders, bills, vendor credits, payment scheduling and expense handling.

Banking

Bank feeds where available, bank rules, reconciliation and cash management.

Inventory

Item and stock tracking for straightforward trading businesses, with composite items where available in the edition in use.

Automation

Configurable workflow rules and approval routing — a genuine strength where a business needs controlled approvals without an ERP.

Multi-currency

Multi-currency transactions and revaluation for businesses trading across borders.

Reporting

Standard financial statements, aged balances, tax reports, budget comparison and custom reports.

Suite connectivity

Connections to CRM, projects, expense and other applications within the same vendor family.

Deployment considerations

Zoho Books is a cloud subscription service with editions that differ in user limits, automation capability and feature depth. Data is held by the vendor. Two practical considerations: which edition is required depends on the automation and user needs identified during assessment, and the value of the platform rises materially if the business also adopts CRM or projects from the same family — otherwise the integration advantage is largely theoretical. Nigerian statutory payroll is handled by a separate process, with the journal posted to the ledger.

What implementation covers

  1. Assessment of fit and of the right edition for the requirement.
  2. Organisation set-up, tax configuration and financial period settings.
  3. Chart of accounts design with classes for the reporting the business needs.
  4. User roles, permissions and approval workflow configuration.
  5. Item and service set-up with correct accounts and tax treatment.
  6. Opening balances for bank, receivables, payables and stock, reconciled and documented.
  7. Migration from the previous system or from spreadsheets, cleansed and de-duplicated.
  8. Bank account configuration and reconciliation rules.
  9. Automation rule configuration for recurring and approval-driven tasks.
  10. Connections to CRM, projects or expense applications where those are in scope.
  11. Report set-up for the monthly management pack.
  12. Role-based training, written procedures and support through the first two month-ends.

Reporting and integration

Standard financial and tax reports are available with customisation, and budget comparison is supported. Integration works well within the vendor's own suite and through available APIs and connectors for external systems. Where the business adopts multiple suite applications, we design the data flow deliberately — which system owns which record — because undefined ownership between connected apps is a common source of duplicated and contradictory data.

Training and support

Training covers the day-to-day transactions by role, plus the approval and automation configuration, since those behave differently from a basic accounting package. Written procedures are provided and support continues through the first month-ends, with an optional retainer thereafter.

Limitations and dependencies

Every platform has boundaries. Knowing them before you commit is cheaper than discovering them after.

  • It is accounting software within a suite, not a full ERP. Manufacturing and multi-warehouse stock control are outside its design.
  • Edition limits on users and features mean the required edition must be identified before commitment.
  • Nigerian statutory payroll is not natively handled and requires a separate process.
  • Bank feed availability depends on bank and market.
  • Cross-application data ownership must be defined deliberately or records will conflict.

How it compares

Frequently asked questions

Why choose Zoho Books over QuickBooks or Xero?

Usually because the business also wants CRM, projects or approval workflows from the same family, or because configurable automation rules solve a specific control need. If none of that applies, the choice between cloud accounting platforms should be made on fit and total cost rather than brand.

Which edition do we need?

It depends on user count, automation requirements and the features identified in the assessment. We recommend the lowest edition that genuinely meets the requirement, because edition upgrades are a recurring cost.

Can you migrate us from another platform?

Yes. We extract and clean the data, design the chart of accounts and classes, agree and reconcile opening balances, and support the cut-over.

How is Nigerian VAT and withholding tax handled?

Tax treatment is configured for VAT and withholding tax, and the records supporting returns are maintained. Preparation and filing of returns is a separate compliance service.

Who do we pay for the subscription?

The vendor directly. We do not mark up subscriptions.

Would you recommend Zoho's ERP instead?

Where a business genuinely needs a full ERP, that is worth evaluating alongside ZhiftERP and other options. We assess against your requirements and total cost, and we recommend against a platform if it does not fit.

Want a second opinion before you commit?

We are independent of the vendors. We will tell you if this platform is right for you, and we will tell you if it is not.
