This notice explains what personal information CloudERP Accounting & Business Solutions collects through this website and during client engagements, why we collect it, how long we keep it, and the rights you have over it.

1. Who we are
CloudERP Accounting & Business Solutions is the data controller for the personal information described in this notice. We operate offices at 168 Awolowo Road, S.W. Ikoyi, Lagos; Oyo House, Back Office, 2nd Floor (Suite 209), Central Business District, FCT, Abuja; and 3, Holy Ghost Avenue, Shalom School Close, off Elijiji Road, Woji, Port Harcourt.

2. What we collect through this website
When you submit a form on this website, we collect only what the form asks for:
We ask you not to include passwords, bank details, tax identification numbers or other sensitive information in form fields. If you send such information anyway, we will delete it from our systems and ask for it through a secure route if it is genuinely needed.

3. Information collected automatically
This website records limited technical information needed to operate it and to keep it secure: the pages requested, the date and time, the referring page, the browser type, and the IP address. Server logs of this kind are standard, are retained for a limited period, and are used for security, troubleshooting and understanding which content is useful.
We also store a small amount of information in your browser to remember your cookie preferences and to protect forms from automated abuse. These are strictly necessary and cannot be switched off.
Analytics and marketing cookies are not set by default. If we enable analytics in future, no analytics cookie will be set until you have given consent, and we will not send names, email addresses, phone numbers, company names or enquiry text to any analytics provider.
4. How we use your information
We do not sell personal information, and we do not share it with third parties for their own marketing.
- To respond to your enquiry and provide the service you asked about.
- To arrange, confirm and, if applicable, reschedule a consultation.
- To send you a resource you requested.
- To keep a record of the enquiry, including where you came from, so we can understand which of our content and services are useful.
- To meet legal, regulatory, professional and contractual obligations, including anti-money-laundering checks where an engagement requires them.
- To send you occasional practical articles, but only where you have specifically opted in, and never to anyone who has not.
5. Client engagement information
Where you become a client, we hold considerably more information than the website collects, because accounting, tax and advisory work requires it. That includes financial records, transaction data, payroll information, statutory filings, contracts and correspondence.
This information is processed for the purpose of delivering the engagement described in your engagement letter, and for meeting professional, tax and company law obligations. Access is limited to the staff working on the engagement. Credentials are held securely and are never shared by email, and access is withdrawn when an engagement ends.
Where we act for a business, the personal information of that business's customers, employees and suppliers may be processed on the business's behalf. In those circumstances the business is the controller and we process as its processor under the engagement letter.
6. Who we share information with
We do not transfer personal information outside Nigeria except where an engagement requires it, where a service provider operates outside Nigeria under appropriate safeguards, or where you have asked us to.
- Staff and consultants of CloudERP who need the information to respond to you or deliver the engagement.
- Our hosting provider, which stores the website and the enquiry records.
- Professional advisers, where an engagement requires it and the engagement letter permits it.
- Regulators, tax authorities and law enforcement, where we are legally required to disclose information.
- A customer relationship management system, once one is configured, so that enquiries are handled consistently. Until then, enquiries are stored securely on our own server.
7. How long we keep information
Enquiry records are kept for 24 months from the last contact, then deleted or anonymised. Client accounting records are retained for the period required by Nigerian tax and company law, currently a minimum of six years, and for as long as an engagement letter requires. In summary:
- Website enquiry records: 24 months from the last contact with you, then deleted or anonymised.
- Server logs: a limited period sufficient for security and troubleshooting.
- Client accounting and tax records: the period required by Nigerian tax and company law, and for as long as the engagement letter requires.
- Marketing preferences: until you unsubscribe, after which we retain only the minimum record needed to honour the opt-out.
8. How we protect information
- All website traffic is served over HTTPS.
- Form submissions are validated on the server, with rate limiting and automated-submission controls.
- Administrative access to the website and to stored enquiries is restricted to named individuals and requires authentication.
- Secrets and credentials are held outside the public website files and are never exposed to a browser.
- Backups are taken and tested, and a recovery procedure is documented.
- Access to client information is limited to the staff working on the engagement and withdrawn when it ends.
No system is perfectly secure. If a security incident affects your personal information and is likely to create a risk to you, we will notify you and the relevant authority in line with applicable law.
9. Your rights
To exercise any of these rights, email info@clouderpaccounting.com. We will respond within the period required by applicable law. Where a request concerns client accounting records, we may need to retain some information to meet legal and professional obligations, and we will explain what and why.
- A copy of the personal information we hold about you.
- Correction of information that is inaccurate or incomplete.
- Deletion of your information, where we are not required to keep it.
- Restriction of processing, or objection to processing, in certain circumstances.
- Withdrawal of marketing consent at any time, which does not affect anything already sent.
- A complaint to the Nigeria Data Protection Commission if you believe we have mishandled your information.
10. Children
This website and our services are intended for businesses and professionals. We do not knowingly collect personal information from children.
11. Changes to this notice
We may update this notice when our services, providers or legal obligations change. The version number and effective date at the top of this page show which version applies. Where a change materially affects how we use your information, we will say so on this page and, where appropriate, notify you directly.
