SME cloud accounting

QuickBooks implementation and support

Widely used SME accounting software, strong on bookkeeping, invoicing and reporting, with a large ecosystem of add-ons.

Our relationship with this platform: Independent implementation and support. We are not an authorised reseller and do not hold a vendor certification unless stated otherwise in writing.

Who this platform suits

Good fit

  • Small and medium businesses that need reliable bookkeeping, invoicing and management reporting.
  • Service businesses and traders whose operations are straightforward but whose records need to be proper.
  • Businesses that want a familiar, widely supported platform with a large pool of users and add-ons.
  • Owners moving from spreadsheets who need structure without a full ERP.

Poor fit — be honest about this before committing

  • Manufacturers needing bills of materials, work orders and production costing.
  • Multi-warehouse distributors requiring bin-level stock control and barcode operations.
  • Groups needing multi-entity consolidation with inter-company control.
  • Businesses with heavy project or contract billing requirements beyond what the platform's project tracking supports.

Capabilities

Core accounting

Double-entry ledger, chart of accounts, journal entries, classes or categories for departmental and project tracking, and period close.

Sales and invoicing

Estimates, invoices, recurring billing, payment reminders, receipts and customer statements.

Purchases and bills

Supplier records, bill entry, purchase orders where available in the edition in use, and payment tracking.

Banking

Bank feeds where available in the market, bank rules for categorisation, and reconciliation.

Inventory

Stock tracking for straightforward item-based businesses. Not a warehouse management system, and not designed for batch, serial or multi-warehouse complexity.

Payroll

Payroll functionality varies by market and edition. For Nigerian statutory payroll we commonly run a dedicated payroll process or provider alongside it and post the journal.

Reporting

Profit and loss, balance sheet, cash-flow summary, aged receivables and payables, and customisable report filters.

Add-on ecosystem

A large marketplace of connected applications for payments, expenses, point of sale, inventory and time tracking.

Deployment considerations

QuickBooks is available as a cloud subscription and in desktop form depending on market and edition. Cloud deployment suits most Nigerian SMEs: no server, access from multiple locations, and automatic updates. Desktop deployment still appears in businesses with older installations or specific localisation needs, and it brings backup, licensing and upgrade responsibilities that need to be managed deliberately. Which edition and deployment model applies to you is confirmed during scoping, because availability and features differ between markets and change over time.

What implementation covers

  1. Assessment of whether QuickBooks is the right platform for the business, including honest advice if it is not.
  2. Company set-up, preferences and user roles with appropriate permissions.
  3. Chart of accounts design for meaningful reporting rather than a default list.
  4. Tax configuration for VAT and withholding tax treatment, and the records needed to support returns.
  5. Product and service list set-up with correct accounts and tax treatment.
  6. Opening balances for bank, receivables, payables and stock, reconciled and documented.
  7. Data migration from the previous system or from spreadsheets, cleansed and de-duplicated.
  8. Invoicing, billing and payment workflows, including reminders.
  9. Bank and payment account configuration and reconciliation routines.
  10. Report set-up and a defined monthly close routine.
  11. Role-based training and written procedures.
  12. Support through the first two month-ends.

Reporting and integration

Standard financial reports are available out of the box and can be filtered and customised. Where management needs reporting the platform cannot produce directly, we design the export and reporting routine rather than leaving the team to rebuild spreadsheets every month. Integration is available through the connected app ecosystem and through available APIs; the practical options depend on the edition in use and are confirmed during scoping.

Training and support

Training is delivered to the people who will use the system day to day, covering their actual transactions rather than a feature tour. Written procedures are provided. Support after go-live covers questions, configuration changes and the first month-ends, then an optional retainer.

Limitations and dependencies

Every platform has boundaries. Knowing them before you commit is cheaper than discovering them after.

  • It is accounting software, not an ERP. Manufacturing, multi-warehouse distribution and complex project costing are outside its design.
  • Feature availability differs between editions and markets and changes with vendor releases. We confirm what is actually available to you before committing.
  • Nigerian statutory payroll and tax filings are not fully handled by the platform; a payroll process and an accountant remain necessary.
  • Stock functionality is suitable for straightforward item tracking, not for batch, serial or bin-level control.
  • Consolidation across multiple entities is limited compared with a full ERP.

Frequently asked questions

Is QuickBooks enough for our business?

For many SMEs, yes — particularly service businesses and straightforward traders. If you have manufacturing, multi-warehouse stock, complex project billing or multiple entities, it will strain, and we will say so before you commit rather than after.

Can you migrate us from our current system?

Yes. We extract, clean and map the data, agree opening balances, and reconcile the new system to the old before cut-over. In many cases opening balances plus the current year is the right scope, with the old system kept read-only for reference.

Who do we pay for the licence?

Normally the vendor directly, so the subscription, pricing and support entitlement sit with the business that owns the data. We do not mark up licences.

Can it handle Nigerian VAT and withholding tax?

Tax treatment can be configured for VAT and withholding tax, and the records needed to support returns can be maintained. Preparation and filing of returns is a separate compliance service.

What about payroll?

Payroll capability varies by market and edition. For Nigerian statutory payroll we usually run a dedicated payroll process or provider and post the journal into QuickBooks, which keeps statutory compliance and the ledger both reliable.

When should we move off QuickBooks?

When stock, purchasing, production or project complexity starts being managed in spreadsheets alongside it. That is the usual signal, and it is the point where an ERP becomes the cheaper option overall.

Want a second opinion before you commit?

We are independent of the vendors. We will tell you if this platform is right for you, and we will tell you if it is not.
